Temporary Program Assistant 

Position Overview:

As a Temporary Program Assistant, you will be at the forefront of our mission to assist union members in need. You’ll assist in managing daily operations, ensure efficient communication, and handle crucial administrative tasks that directly impact the lives of our members. This role demands a compassionate approach, strong organizational skills, and a commitment to excellence.

Key Responsibilities:

Program Administration:

  • Assist with the intake and eligibility screening process for the various programs we run, ensuring accurate and timely processing of referrals.

  • Maintain and update the CRM, including status updates, program categories, and union-specific information.

  • Respond to and assist with email communications, including the organization’s professional and program-specific email accounts ensuring prompt and professional communication with members and colleagues.

Member Support:

  • Conduct intake interviews with union members, using a trauma-informed approach to gather necessary information and guide them through the assistance process.

  • Respond to voicemails and emails from members, addressing their needs with empathy and efficiency.

  • Draft and send personalized approval emails, clearly outlining next steps and required documentation.

Documentation & Payment Processing:

  • Collect and verify required documentation from members, ensuring completeness and accuracy for payment processing.

  • Coordinate the bi-weekly processing of payments, summarizing payment information and liaising with leadership to ensure timely disbursement of funds.

Collaboration & Continuous Learning:

  • Work closely with colleagues to address unique member situations, escalating complex cases as needed.

  • Engage in ongoing learning to stay current with program policies and best practices, continually enhancing your ability to support members effectively.

  • Skills:

o Strong proficiency in Google Workspace, especially Google Forms and Sheets.

o Strong ability to learn new programs, specifically a Customer Relationship Management System (CRM).

o Excellent communication skills, with a talent for handling sensitive situations tactfully and professionally.

o Exceptional organizational skills with the ability to manage multiple tasks and priorities.

o Bilingual in English and a second language preferred but not required.

o Trauma-informed and crisis intervention skills preferred but not required.

o Collaborative Spirit: Willingness to work closely with colleagues and contribute to a supportive team environment.

o Professionalism: Maintaining a high standard of conduct, communication, and demeanor, especially when representing the organization to members and external partners.

Compensation & Duration:

  • Hourly Rate: Hourly rate commensurate with experience.

  • 25-30 hours/week

  • Duration: This is a temporary position for 90 days, with the possibility of extension based on organizational needs and performance.
